Concept

A batch is the group of files created by a single upload, and it is the unit you process, review, and export. Every upload from the dashboard starts a batch with its own name, and the files inside it are handled together.

What counts as a batch

When you add files on the dashboard, they are collected into one batch and shown as a single collapsible group under Files, with the batch name on the group header. From that header you process the batch, export it, or delete it.

  • One upload makes one batch. The files you send together land in the same batch, and if you add several PDFs at once the pages you choose from each of them all join that one batch. The one exception is adding a PDF together with other files: the PDF waits for you to pick its pages, so its pages form their own batch and the other files form another (see Uploading Documents).
  • Each PDF page is its own file. A PDF is split into pages before upload, and a Word document or text file is converted into pages — each resulting page counts as one file in the batch and is processed on its own; how many rows of results that file contributes depends on what it contains (a page with a single value yields one row, a page listing many items yields one row per item).
  • A file belongs to exactly one batch. Files are not moved between batches later, and they cannot be added to a batch after the fact (see Adding files to a batch).
  • A batch belongs to the account that created it. The Files list shows the batches you uploaded or received on your own account.

Where the batch name comes from

Batch names are generated automatically. There is no field to type a batch name and no rename action — every batch is named the moment the upload starts.

A batch name has the form YYMMDD-XXXX:

  • YYMMDD — the two-digit year, month, and day the upload started, so a batch's date is readable at a glance.
  • XXXX — a four-character code derived from the time of day, using digits and capital letters. Two batches started at different times on the same day therefore get different names.

Because the date is part of the name, the export dialog tags batches from today with a Today label, and you can select just those with one click. The same naming format is used for batches that arrive through a Collection Link or the Email Inbox.

How many files a batch can hold

Each batch has a maximum number of files, and that maximum depends on the plan behind the account. A team member is limited by the team owner's plan, not by any personal plan.

The limit counts files, not uploads — and one upload stays one batch. A 40-page PDF becomes 40 separate files, but they all belong to the same batch, so that one PDF fills 40 of that batch's file slots rather than becoming 40 batches. (A Word document or text file counts the same way: each page after conversion is one file.) If you select more pages than the limit allows, the app warns you that the extra pages will be ignored. If a batch would go over the limit, the app refuses the upload and reports that the batch limit was exceeded, suggesting a plan upgrade.

This is the per-batch limit only. The app also caps how many unprocessed files an account can hold across all batches at once; see Limits & Specs for the full table, and Plans & Credits for what each plan includes.

Batch statuses at a glance

A batch does not have one single status. Each file carries its own status tag in the Files list, and the batch header summarizes the batch with a count for each state that applies — Done, Reviewed, Running, Error, and Ready — alongside the total file count and a progress bar.

The Status filter in the Files panel uses the four main states — Uploaded, Processing, Completed, and Error — to narrow the list. There is no separate Canceled status on a file: removing a batch deletes its files rather than leaving them marked canceled (see Deleting a batch).

Batches and templates

A batch is not tied to a template when the files are uploaded. The template is chosen when you start processing: the batch uses the template currently selected in the Data Columns panel, and that template is recorded with the files it processed.

  • You can process the same batch again with a different template. Select another template and run the batch again; the new run uses the new template for its columns. See Templates & Columns for how templates and their columns work.
  • One processing run uses one template. All the files submitted together are processed with the same columns, and each file's result belongs to the template it was processed with.
  • A batch in To Word mode uses no template. That mode returns the whole page as a Word document instead of extracting columns.
  • Multi-Page Merge works inside a single batch. When the template has merging turned on, rows from the files in that batch are combined; rows are never merged across two batches. See Multi-Page Merge.

Adding files to a batch

On the dashboard, each upload starts a new batch — there is no action that adds files to a batch that already exists. Uploading more files later, whether the earlier batch was just created or already processed and exported, produces a new batch with a new name. Files you have already exported stay in their original batch.

Batches that collect files automatically behave slightly differently. Files arriving through a Collection Link or the Email Inbox can join the most recent batch from that same source while it is still unprocessed and has room left. Once processing has started on any file in that batch, or the batch is full, the next arrival starts a new batch.

Deleting a batch

The trash icon on a batch header deletes the whole batch. The app asks you to confirm first, because the files and their results are removed from your account and it is not a reversible action.

Credits are handled according to how far each file got:

  • Files still waiting in the queue are refunded. The confirmation tells you how many queued files will be refunded, for example "3 queued file(s) will be refunded. Delete this batch?"
  • Files already processing are not refunded. If any file has started processing, the confirmation warns that the credits already charged for it will not be returned. Deleting the batch does not stop that processing, and its result is discarded.

You can also remove everything at once from your profile with Delete History, which applies the same rule: queued files are refunded, files already processing are not.

Exporting a batch

The download icon on a batch header exports that batch, and the multi-batch export dialog lets you tick several batches and export them together. An export uses each batch's files and the template those files were processed with, including any Multi-Page Merge settings; it does not re-run processing. Before exporting, the app checks whether every file in the batch has finished and warns you if some are still pending, failed, or missing a result. The step-by-step details are on the Export page.

Common questions

Can I rename a batch?

No. Batch names are generated automatically from the date and time of the upload, and there is no rename action.

Can I add files to a batch I already exported?

No. Uploading again starts a new batch, even if you meant to continue an earlier one. The exported batch keeps only the files it already had.

What happens if I delete a batch while it is processing?

The batch's files are removed immediately. Files that had not started are refunded; files already processing are not, and they are left to finish in the background with their result discarded.

Do team members share batches?

No. A batch belongs to the account that created it. A team shares the plan and credits, but each member's batches stay in their own Files list.
