To Word returns each file as a whole page you can edit in Word, instead of pulling out named columns. It keeps the page's structure and look: headings, paragraphs, tables, alignment, colors, pictures — and it rebuilds flowcharts and charts as editable shapes and native Word charts rather than flat images.

How to use it

  1. In the Select Mode switch at the top of the dashboard, choose To Word. The note under the switch reads Keep each file's original layout and formatting, exported as an editable Word document. There is no template and no column list to set up.
  2. Upload your files as usual — images, PDFs, Word and text files. See Uploading Documents.
  3. Run processing. Each file is shown in the results panel as a page that you can read right there, next to the original image.
  4. Export the batch from the Files panel. It downloads as a Word document (.docx). See Export.

A To Word run is charged per processed file, the same way a To Table run is, at the account's Model Tier rate. Each file starts on a new page in the Word document, in the order of the files.

What is kept in the Word file

Flowcharts and charts

Diagrams are the part of a page that a plain conversion usually leaves as a picture. To Word reads them and rebuilds them as objects you can change in Word.

Flowcharts, org charts and decision trees

These come through as Word shapes joined by connectors: rounded ends for start and finish, rectangles for steps (and for the boxes of an org chart), diamonds for decisions, parallelograms for input and output, and small circles where lines merge. The text of every shape and the label on every arrow are kept, so you can reword a step, add a box or change an arrow in Word. Connectors between neighboring levels are attached to their shapes and follow them when you move one; an arrow that loops back to an earlier step is drawn as a free line.

Data charts

These come through as native Word charts that carry their own data sheet. In Word, right-click the chart and choose Edit Data to change the numbers, and the chart updates. The chart types rebuilt this way are:

  • Column and bar charts, including stacked ones.
  • Line charts, and a line layered over columns.
  • Pie charts. A donut chart is rebuilt as a pie chart.
  • Bubble charts.

Where numbers are printed on the chart, they are used exactly as printed. When they are not, the values are read from the axis gridlines and are estimates to about two significant digits, so check them against the original before you rely on them.

When a diagram stays a picture

A diagram is kept as a cropped picture of the original, instead of being rebuilt, when:

  • it is a mind map, a scatter plot, an area chart, a radar chart, a histogram or a 3D chart, or it is a map, an infographic or a photo;
  • a flowchart has more than 60 shapes, or a chart has more than 200 categories or data points, more than 12 series, or (for a pie chart) more than 30 slices;
  • its text is too small or blurred to read reliably.

The picture is still placed in the document in the right position; it is just not editable.

What To Word does not reproduce

  • Fonts. The document uses one default font throughout. Font sizes, bold, italic and color are kept, but the typeface is not.
  • Exact spacing. Line height and the space between paragraphs follow the Word file's defaults, not the original's.
  • Fully justified text. A paragraph that is justified on the page may come out left-aligned.
  • Page setup. The Word file uses a standard page setup (US Letter size with narrow margins). Change it in Word if you need another size.
  • Pictures that no longer exist. Pictures are cut from the uploaded original. If that image is no longer stored, the picture's text description appears in its place.

To Word is a layout rebuild by AI, so check the result against the original page, in particular amounts and the numbers read from charts. The results panel is a preview of each page: flowcharts, charts and pictures appear there as small cropped pictures of the original, and are rebuilt as shapes and charts in the exported file. You can edit anything in Word afterwards.

Common questions

Does To Word need a template or column names?

No. To Word returns the whole page, so there are no columns to define. Templates apply to To Table. See Templates & Columns.

Can I edit the charts and flowcharts in Word?

Yes, when they were rebuilt as shapes or native charts. Flowchart text and shapes are edited like any Word shape, and a chart's numbers are changed with Edit Data. A diagram that stayed a picture, because of its type or size, is not editable. See When a diagram stays a picture.

Can I review and locate values on the image in To Word mode?

No. Review Mode works on table results only, because a To Word file is a document and has no cells to check. See Review & Verification.

Can I get both Excel and Word from the same files?

Process the files once in each mode. The export format follows the mode the files were processed in, so a To Table batch exports as an Excel workbook and a To Word batch as a Word document. See Export.

Why is a heading or a picture not where the original has it?

Alignment is read from the page, and a few cases are hard to tell apart, justified paragraphs above all. A heading is left-aligned unless the page clearly centers it. You can adjust any alignment in Word.
