The mechanism is Custom Column Extraction: you decide the columns, the AI fills them. Want a Category column? Name it Category (options: Meals/Transport/Office/Supplies) and the AI classifies each purchase even though no receipt prints a category label.

Typing Receipts into Cells Is the Default — and the Slowest Part of Expense Tracking

Receipts are the one financial document still logged by hand — the tools that claim to fix it force a fixed field list or add template setup. One Redditor put the old workflow plainly: "I manually input all of my receipts in to a spreadsheet at the end of the month, and I break things out by category manually."

Every receipt is six to eight cells typed by hand. Date, vendor, amount, category, payment method, tax — each a separate trip to the keyboard, repeated for every receipt in the pile. One mistyped digit and the month's total is off with no way to find it.

Scanner apps export a file you then have to re-import. Most receipt apps live outside Google Sheets: scan in their app, download a CSV, then import it and fix the column mapping. Upload — photograph the receipts as they are

If you're logging a month of expenses, take phone photos of the paper receipts — grocery strips, restaurant bills, hardware store slips — and add any digital PDFs (Amazon orders, hotel folios, email receipts) to the same upload. The add-on accepts JPG, PNG, and PDF, and a batch can mix paper photos and digital files freely. Straight-on shots in decent light give the best reads; a hurried photo at a 45-degree angle still works but is less reliable.

Name your columns — what you want out of each receipt

In the sidebar, type the column list once: Date | Merchant | Amount | Category | Payment Method | Tax | Tip | Total. For restaurant receipts the AI separates the printed Subtotal and the handwritten Tip into their own cells. Add Category (options: Meals/Transport/Office/Supplies) as an inferred column and every receipt is classified as part of the same pass — no separate categorization step after extraction.

Click Extract. Each receipt takes 5–10 seconds and lands in the next empty row of the active sheet, headers matching the columns you named. When Receipt-to-Sheets Works Best — and When to Check the Rows

Receipts vary more than any other financial document — thermal paper fades, tips are handwritten, every store prints differently.

Handles reliably

Fresh thermal and printed receipts in good light. Total, date, merchant, and payment method extract reliably across store formats.

Digital and email receipts. Machine-generated receipts from Amazon, hotels, and e-commerce — clean, labeled values extract at near-perfect accuracy.

Mixed-merchant batches with one column setup. Upload receipts from 20+ stores at once; each row is tagged with the merchant.

Verify these cases

Faded thermal paper. A receipt in a wallet for months can lose characters entirely — the AI fills gaps with context, but text that is physically gone cannot be recovered. Photograph receipts the day you get them.

Handwritten or cursive tips. A scrawled tip over a printed subtotal is the hardest case — Tip accuracy is lower than printed fields. Check the Tip and Total cells for restaurant rows.

This writes receipt data into your spreadsheet — it is not a bookkeeping tool. It won't reconcile your ledger, match transactions to categories, or generate profit-and-loss reports; the rows it writes are raw material.

Frequently Asked Questions

Can I capture the Tip separately from the Total on a restaurant receipt?

Yes. Add columns named Tip and Total, and the AI reads both numbers from the same receipt: the printed subtotal, the handwritten tip, and the final total, with each value going to its own cell. Handwritten tip digits on small thermal paper are the hardest case — accuracy on the Tip column is slightly lower than on fully printed fields — so give the Tip and Total cells a quick glance for restaurant rows before you submit anything for reimbursement.

Can I define my own columns — like Receipt Number or Payment Method — or am I limited to preset fields?

You define the columns — that's the point of Custom Column Extraction. The names you type in the sidebar become the exact headers in your spreadsheet, so Receipt Number, Payment Method, Tax, Tip, or any field your expense sheet needs gets its own column. The AI locates each value by understanding what the field means — it knows that a masked card number and the words "VISA" at the bottom are the Payment Method, even when the receipt has no label for it.

Does the add-on write into the spreadsheet I'm already using, or do I export a file first?

It writes directly into the active sheet. Open the add-on from Extensions → ImageToTable.ai → Open, upload your receipts, and each one becomes a row appended below your existing data — no CSV or XLSX export, no import step, no Zapier workflow in between. Your spreadsheet is the destination, not an intermediate file. The add-on also syncs with your web app templates and extraction history, so a column list you save on the web app is available in the sidebar.

What happens when a receipt has no Tax or Subtotal line printed on it?

The cell for that row stays empty — the batch doesn't fail and other receipts in the same upload still extract normally. Many receipts genuinely don't print a separate tax line (a cafe, a market stall, or a state without split-out sales tax), and the AI won't invent a number that isn't there. If you need a calculated value anyway, define a computed column such as Tax (Total − Subtotal) and the AI derives it during extraction.

Can it handle faded thermal paper receipts?

Better than traditional OCR, with a physical limit. Because the AI reads with document context, it can often recover the Total from a faded strip — where a character-level OCR tool would return garbage. But if the ink has faded to the point where a human can't read the digits, the AI can't invent them either, and some fields will come through blank. Best practice: photograph each receipt the day you get it, before fading sets in, and keep the photos in your own records alongside the spreadsheet.
